15 Tools & Resources on Running an Efficient Online Business

Many people have asked me what tools and resources do I use in running my businesses and keeping them organized.

Here, I share with you a few of the tools that I use:

Email: If you run a business you should not be using .gmail, .hotmail, .yahoo, etc as a business email. Get yourself a professional email account with your website host.

Hosting: Bluehost, Godaddy and Hostgator are among the many resources that you can utilize to host your domain. Most of these you don’t need any technical experience to use. Do your research into which hosting suits you and your business.

Create a Website: There are many sites where you can create professional websites. Weebly, Squarespace, etc. I have found that Wix is user-friendly and easy to manage. WordPress is also a great tool to use to create a website or blog.

Create Videos: I am not a great fan of the video 🙂 But for those that enjoy it, you now have Facebook Live and even Instagram has created a way for you to do snippets of videos online.

Task Management: If you have a team, you know how important it is to keep everyone on one page. Having a task management tool helps with collaborating on projects and keeping the communication going. Asana, Trello and Todoist are among the many tools that are great to use to keep a team organized in projects and tasks. My favorite is Smartsheet due to the many templates already prepared and it is also user-friendly.

Invoicing: You need a way to get paid but you can’t do that without invoicing. Zoho, Freshbooks, and Wave are great tools to use to send invoices electronically and manage your bookkeeping.

Newsletters: If you are looking to keep communication going with your clientele, Mailchimp and Constant Contact are great tools to use in creating newsletters to keep your clientele up to date with your products or services. It’s a great way to also create an email list as well.

Cloud Storage: Though I personally don’t think we will ever be paperless because of the importance of keeping a paper trail when it comes to business but if you are looking to back up all of your files and documents; Google Drive, SugarSync, and Dropbox, are among the great tools you can use. Most of these are free to use and many you just have to pay a small monthly fee.

Office Suite: To create word documents, spreadsheets or presentations you can download Microsoft Office or use Google docs. OpenOffice is also another great tool designed to create a collection of documents.

Social Media: Many people think that I am on social media all the time. Ok, I am 🙂 I’m apart of the social media team in my corporate job and I also am a virtual assistant and an independent business owner. So, most of my tasks consist of being online a lot. But many times I just schedule my posts. There are tools like Hootsuite, Buffer and Social Studio that you can use to schedule your daily, weekly and even monthly posts.

Password Management: When working with clientele it is mandatory to keep passwords in a safe place. Lastpass, 1Password, Keeper and Dashlane are among the many password management tools that you can use together with your client in keeping passwords safe in an online vault.

Electronic Signature: If you have clients than you have contracts. (*Note: never accept a client without a contract) Contracts need to be signed. I love Docusign! It lets me send contracts electronically to a client and that client than electronically signs it online and sends it back. Hellosign is another tool that is user-friendly in receiving electronic signatures.

Online Pay: Paypal and Stripe are easy online tools where you can receive payments for your services and products.

Note tool: Ever wanted to save an article that you can read at a later time or even write notes from a webinar or training? Evernote is a great tool to create notes either from training or even seminars. It also is great at saving articles that you find interesting but can read at a later time. And you can access this tool from all your electronic devices.

Memes: Many people ask me how do I create my memes or quotes. Canva is a great tool for basically anything from quotes, social posts to eBooks. It is user-friendly and very creative.
